Data protection
This notice explains how THE KLUB. processes personal data under the Swiss Federal Act on Data Protection (FADP / nDSG) and, where it applies, the EU General Data Protection Regulation (GDPR).
Last updated: 13 October 2026
01
Who is responsible
THE KLUB. is the controller for personal data processed through theklub.ch, our membership and event workflows, and related communications.
Contact for data protection requests: hello@theklub.ch
02
What we collect
Depending on how you interact with THE KLUB., we may process:
- Identity and contact details: name, email address, mobile / WhatsApp number, home city, optional profile photo
- Membership and account data: application answers, membership status, sign-in activity, preferences
- Event participation data: registrations, waitlists, stays or accommodation requests, host notes needed to run the experience
- Communications: emails, SMS or WhatsApp messages you send us, and messages we send about your membership or events
- Technical data: basic device, browser and usage information, and analytics where enabled on the website

Events registered through Luma
Some THE KLUB. events use Luma (luma.com), operated by Luma Labs, Inc., for guest registration and event logistics. When you register for one of those events, Luma collects your details on our behalf as host and shares them with THE KLUB.
For every Luma registration, Luma collects at least your name and email address. Depending on the event settings, Luma may also collect a phone number and answers to registration questions we add (for example interests, what you are looking for, or other details that help hosts make introductions).
If an event is ticketed on Luma, payment details are processed by Luma’s payment provider (for example Stripe). THE KLUB. receives the registration and attendance information needed to approve places, share venue details and host the evening.
Luma processes this data under its own terms and privacy policy. Please also read luma.com/privacy-policy. THE KLUB. uses the guest data we receive to organise the specific event, communicate with confirmed participants and improve hosting.
04
Other ways we receive your data
We also collect data when you:
- Apply for membership or event interest through forms on theklub.ch (including Tally forms)
- Create or use a THE KLUB. member account and sign in by email
- Register for an event directly on theklub.ch (name, email, mobile / WhatsApp)
- Suggest an event, join a WhatsApp group linked from the site, or email hello@theklub.ch
- Subscribe to our newsletter, where offered
05
Why we use your data
We process personal data to:
- Review membership applications and manage member accounts
- Organise events, approve places, share practical details and support hosts
- Make introductions and keep the room considered and safe
- Reply to messages and provide support
- Send essential service messages about your account or events you joined
- Send newsletters or membership updates only where you have asked for them or another lawful basis applies
- Secure, maintain and improve theklub.ch
- Meet legal and accounting obligations
06
Legal bases (Switzerland and EU)
Under Swiss law, we process personal data for the purposes above, in particular where processing is necessary for a contract or pre-contractual steps, where we have a legitimate interest that is not overridden by your interests, where you have given consent, or where we must comply with a legal obligation.
Where the GDPR applies (for example if you are in the EEA), the corresponding bases include Art. 6(1)(b) contract, Art. 6(1)(f) legitimate interests, Art. 6(1)(a) consent, and Art. 6(1)(c) legal obligation.
07
Service providers
We use trusted providers to run THE KLUB. They only process data as needed for their service:
- Luma Labs, Inc. (United States) for selected event registrations and related guest communications
- Tally for website forms (membership, event interest, suggestions)
- Hosting, email and newsletter infrastructure (including Infomaniak in Switzerland / Europe where used)
- Analytics providers such as Google Analytics, when measurement is enabled on the site
- Messaging tools such as WhatsApp when you choose to join a group or contact a host that way
08
International transfers
Some providers, including Luma, may process data outside Switzerland or the EEA. Where that happens, we rely on appropriate safeguards required by Swiss and, where applicable, EU law (for example contractual protections and the provider’s compliance programme).
09
How long we keep data
We keep personal data only as long as needed for the purposes above, including membership administration, event organisation, support and legal retention duties. Event guest lists are kept for operational follow-up and then reduced or deleted when no longer needed. You can ask us to erase data earlier where the law allows.
10
Your rights
Depending on Swiss and, where applicable, EU law, you may request access, correction, deletion, restriction, portability, or object to certain processing. Where processing is based on consent, you may withdraw consent at any time without affecting earlier lawful processing.
To exercise these rights, email hello@theklub.ch. You may also lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC) or, if GDPR applies to you, with your local supervisory authority.
11
Security
We apply organisational and technical measures appropriate to a private club and membership platform, including access controls and careful sharing of event details with confirmed participants. No method of transmission or storage is perfectly secure; we work to reduce risk and respond quickly if an issue arises.
12
Changes to this notice
We may update this notice when our services, providers or legal requirements change. The date at the top of the page shows the latest version.
